Hide Orders from Your Reports (Prefilters)

Prefilters hide orders you do not want counted: test orders, internal purchases, wholesale deals, or any order you mark with a tag. A hidden order disappears from every report in Profitario, as if it never existed.




Where to Find Prefilters


Open your shop's settings and switch to the Prefilters tab. Every change saves automatically. There is no Save button.


Prefilters are set per shop. If you run several shops, configure each one separately; a combined dashboard view applies each shop's own prefilters.


What Happens to a Hidden Order


An order that matches a prefilter is excluded everywhere: the dashboard, the orders list, lifetime value analysis, cohort reports, funnel reports, exports, and all other analytics. Its revenue, costs, and refunds are removed from every calculation, in past date ranges as well as future ones.


Nothing is deleted. The order stays in Profitario and in Shopify, and it reappears in full the moment you remove the filter that matched it.


Prefilters override your Profit Calculation Rules. If a rule counts a payment status that you exclude here, the exclusion wins and those orders vanish from all reports. Profitario shows a warning on both settings pages when this happens.


The Filters


Financial status. Exclude orders by their payment state: paid, authorized, pending, partially refunded, refunded, or voided (cancelled before payment was collected). For example, some merchants exclude pending orders so unpaid cash-on-delivery orders do not count until the money arrives.


Test orders. Removes Shopify test orders from your reports. Leave it off while you test your setup; turn it on once real orders arrive.


Zero-value orders. Removes orders with a total of $0, such as free replacements or giveaway orders.


Cancelled orders. Removes cancelled orders from all reports, regardless of their payment status.




Draft orders and sales channels. Exclude orders created as Shopify draft orders, or all orders from specific sales channels, for example your point-of-sale channel. Pick a channel from the list or type its name.




Order tags. Exclude every order that carries one of the tags you list here. This is the most flexible filter, because you control in Shopify which orders get the tag. See the next section.


Customer tags. Exclude all orders placed by customers with a certain tag. Typical uses: a staff tag for employee purchases or a wholesale tag for B2B customers whose orders would distort your store metrics.




Hide Specific Orders with a Tag


When you want to hide certain orders, the recommended way is a dedicated tag such as profitario_hidden:


  1. In your Shopify admin, add the tag profitario_hidden to every order you want to hide. To tag many at once, select them in Shopify's order list and use Add tags.
  2. Wait a moment. Profitario picks up tag changes automatically within a few minutes.
  3. In Profitario, open Prefilters, go to Order Tags, and add the same tag. The picker lists tags found on your existing orders, and you can also type a new one.




From then on, every order carrying the tag is hidden, and hiding another order takes a single tag edit in Shopify.


Use one dedicated tag such as profitario_hidden rather than reusing a tag that already means something else in your store. Tag the orders in Shopify first: the picker then suggests the exact tag and you avoid typos.


Common Questions


Does hiding an order change anything in Shopify? No. Prefilters only affect what Profitario counts. Your Shopify data, payouts, and customer records are untouched.


Do hidden orders still appear in past months? No. Prefilters apply to every date range, past and future. If your numbers for an old period change after adding a filter, the excluded orders are why.


Can I hide a single order without tagging it? No. Add your dedicated tag, for example profitario_hidden, to the order and exclude that tag. The tag also documents in Shopify why the order is missing from your reports.


Why do my refund numbers change when I exclude refunded orders? A hidden order takes its refunds with it. The Returns and Refunds deduction only counts refunds on orders that are still included.


Why is my order count lower than Shopify's? Prefilters are the most common reason. Compare your exclusions with what Shopify counts, and see Why Do My Numbers Differ from Shopify? for other differences.
